It's an ecosystem that's trying its hand at the virtual 100 % because it can't find itself \"in the real world\", but one that's clearly counting on the emergence of a new, more dynamic, and more effective way of doing business. <strong>a compromise combining face-to-face and distance learning, thanks to digital technology<\/strong>. Not a week goes by without a convention centre or hotel group positioning itself on the hybrid file, with a view to <strong>relaunch the events machine<\/strong>. And these investments, which are often substantial, seem to be part of a long-term trend, well beyond the health crisis.<\/p>\n<p>It has to be said that the new hybrid dimension offers many advantages. Online broadcasting - live and\/or streaming - opens the doors to a new audience, to new players, a progression that is both quantitative and qualitative. \"\u00a0<em>All of a sudden, we realised that we could share information online, that a keynote speaker could, from <a href=\"https:\/\/www.voyages-d-affaires.com\/en\/seattle-big-players-start-up-20190326.html\/\" target=\"_blank\" rel=\"noopener noreferrer\">Seattle<\/a>This will have an impact on a conference organised in Singapore\".<\/em>testifies <a href=\"https:\/\/www.voyages-d-affaires.com\/en\/interview-arun-madhok-suntec-20210322.html\/\" target=\"_blank\" rel=\"noopener noreferrer\">Arun Madhok, CEO of the Suntec Singapore Convention and Exhibition Centre<\/a>.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignright size-full wp-image-106979\" src=\"https:\/\/www.voyages-d-affaires.com\/wp-content\/uploads\/2021\/03\/pcma-hybrid.jpg\" alt=\"\" width=\"700\" height=\"463\" srcset=\"https:\/\/www.voyages-d-affaires.com\/wp-content\/uploads\/2021\/03\/pcma-hybrid.jpg 700w, https:\/\/www.voyages-d-affaires.com\/wp-content\/uploads\/2021\/03\/pcma-hybrid-300x198-derived.jpg 300w\" sizes=\"auto, (max-width: 700px) 100vw, 700px\" \/>From a logistical point of view, a hybrid event also offers greater flexibility to the organiser, in terms of both space and time.<em>This is another advantage of a digital event: the time scale is not the same. While a physical event lasts two or three days, a virtual event can last a month.<\/em>\"says Alain Chanavaz, co-president of MPI France Switzerland. This new format also does away with the <strong>budget lock<\/strong> which could block participation in certain far-flung events, and at the same time is adorned with a <strong>environmental virtue<\/strong> necessarily welcome. \"<em>We'll have to come up with new forms of meetings, certainly hybrid ones, in line with the world's new challenges, whether it's preserving resources and the climate, digitisation and knowledge-sharing, inclusion and partnerships with all stakeholders, etc.<\/em>\"said the <a href=\"https:\/\/www.voyages-d-affaires.com\/en\/perspectives-2021-augier-france-congres-20201231.html\/\" target=\"_blank\" rel=\"noopener noreferrer\">President of France Congr\u00e8s, Philippe Augier<\/a>.<\/p>\n<p>Traditional handshake aficionados notwithstanding, the virtual dimension also provides organisers with new data management tools. While it is sometimes difficult to gauge the success of a physical event, the online audience and the commitment of participants are easier to quantify. And according to Alain Chanavaz, who also provides training on these issues for Studio Liveteam, virtual meetings often lead to contractual benefits: \"<em>What works very well today are one-day events during which companies present themselves in the form of fifteen-minute workshops, followed by the opportunity to make contact. While the number of meetings is lower than at a physical event, the conversion into contracts is higher. It's much more qualitative, because it's easier and more efficient to put people in touch with each other. If, in addition, you add a 'layer' of data on participants' interests and expectations, matchmaking becomes very effective.<\/em>\".<\/p>\n<p>These arguments already seem to have won over meeting and events professionals. According to a study published by Sli.do at the start of the pandemic, companies are betting heavily on hybrid events after the crisis. Of the 8,800 people questioned, a large majority (62%) predicted that most events would be hybrid in this famous \"post-crisis world\". In its 2021 Global Meetings and Events Forecast report, American Express Meetings &amp; Events predicted that hybrid events would account for half of all programming in the European market this year. For Gerardo Tejado, Senior Vice President and General Manager of American Express Meetings and Events, \"\u00a0<em>The key lesson of our report is clear: meetings must be held. There is a desire to return to face-to-face meetings as soon as it is safe to do so. And hybrid meetings will be the catalyst for this.<\/em>\" .<\/p>\n<figure id=\"attachment_107077\" aria-describedby=\"caption-attachment-107077\" style=\"width: 698px\" class=\"wp-caption aligncenter\"><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-107077\" src=\"https:\/\/www.voyages-d-affaires.com\/wp-content\/uploads\/2021\/03\/slido-hybrid.jpg\" alt=\"Sli.do\" width=\"698\" height=\"359\" srcset=\"https:\/\/www.voyages-d-affaires.com\/wp-content\/uploads\/2021\/03\/slido-hybrid.jpg 698w, https:\/\/www.voyages-d-affaires.com\/wp-content\/uploads\/2021\/03\/slido-hybrid-300x154-derived.jpg 300w\" sizes=\"auto, (max-width: 698px) 100vw, 698px\" \/><figcaption id=\"caption-attachment-107077\" class=\"wp-caption-text\">Meetings &amp; events professionals expect a majority of hybrid events after the crisis, according to Sli.do<\/figcaption><\/figure>\n<p>Technology is undeniably opening up new horizons for event organisers. Especially as the crisis has pushed suppliers to step up the pace of innovation. Managing Director of the association <strong>PCMA<\/strong> (Professional Convention Management Association) for the APAC region, Karen Bolinger had a front-row seat to observe the phenomenon: \"<em>Last year, with the expansion of Covid-19, we had to adapt quickly by turning to existing technologies to continue our activity through online conferences, which were not yet hybrid given the health context. But during that period, technology leapt forward by around ten years in the space of six months!<\/em>\".<\/p>\n<p>However, event organisers must avoid the trap of technology for technology's sake, as Karen Bolinger reminds us: \"<em>In reality, it would be preferable for organisers to <strong>getting back to basics<\/strong> To better understand their objectives, the raison d'\u00eatre of each event and what they want participants to get out of it, before looking at the tools to be used.<\/em>\". This is the challenge for organisers who, faced with a host of new attractive solutions, have to sort through them and above all remain focused on the experience of participants. Unfortunately, investing in equipment, however expensive, is not enough to guarantee the success of a hybrid event.<\/p>\n<p>Professionals now need to rethink the experience they intend to offer participants, both on site and behind their screens. Is it simply a matter of passively attending remote conferences, with no opportunity to interact with the speakers and even less with the other guests? What added value is left for the professionals who have travelled to the conference centre to encourage them to attend the next edition? All the more so when the return to the conference centre will be governed by strict health constraints, and this social distance is hardly conducive to human contact...<\/p>\n<p>The PCMA conference held in Singapore in January provided a foretaste of the new reality to which 'in situ' participants in hybrid events will have to adapt. On stage, the high-tech showcase with its state-of-the-art facilities: holograms, giant screens, a studio worthy of a TV set. In the auditorium, a strict division into hermetically sealed zones, with participants escorted to their assigned seats and international guests divided into equally hermetically sealed bubbles of four or five people for the duration of their stay, punctuated by PCR tests and temperature readings. Yet this is also where the hybrid challenge lies: managing two parallel 'experiences', and the ability to satisfy both on-site and virtual participants, or even to 'bring them together'. The best keynote speakers and the most advanced technologies are not enough to create this amalgam between participants, these business or informal exchanges, this feeling of having shared an enriching moment.<\/p>\n<p>To better engage participants online, organisers can of course rely on technology. In the wake of Sli.do, a number of tools have emerged for polling live audiences - both face-to-face and remotely - gathering questions and testimonials, and generating word clouds. Other initiatives focus less on technology and more on service. Like the German National Tourist Office, which recently organised an online conference and had a catered lunch delivered to the workplace of the first 50 people to register. This is an interesting way not only of convincing the undecided, but also of going further than the prism of the webcam, by appealing to other senses to offer a truly collective experience.<\/p>\n<p>The catering aspect is one of the transformations to be taken into account from the point of view of <strong>budget<\/strong>. \" <em>Hybrid events introduce a number of new factors to be taken into account when budgeting<\/em> \"As the authors of the Hybrid Meeting Insights guide published by Marriott in February point out. \" <em>They enable savings to be made, for example because virtual participants will not need traditional catering services. They offer new revenue opportunities, because the ability to participate virtually allows a wider audience to be reached, and because this digital dimension opens up attractive new options for sponsorship that can help offset costs. Nevertheless, there are additional expenses - such as those related to advanced technologies and production quality - which result in a total cost similar to or higher than that of events organised in person.<\/em> \".<\/p>\n<h3>New economies, new destinations?<\/h3>\n<p>As well as organisers having to adapt to the hybrid format - which will require a learning curve for many of them - the advent of virtual events raises strategic and, above all, economic questions for host infrastructures. Starting with convention centres, where the available surface area may well become disproportionate for some time to come if it is used solely for delegates...<\/p>\n<p>In an ideal world, at least for the organisers, once the Covid chapter has been definitively closed, hybrid events would bring together the same number of on-site participants as in the 2010s, with the addition of a vast online audience on a global scale. In a more pragmatic version, we can expect the share of online events to nibble away at that of face-to-face events, forcing conference centres to explore new avenues.<\/p>\n<p>\"\u00a0<em>In the past, our value was to have a vast space in the centre of Singapore<\/em>agrees Arun Madhok at Suntec. <em>Things are changing. I'm also looking at the attractions sector, for example, because we need to be able to appeal to a local clientele. Until now, convention centres could operate simply by selling their space. Now, more than ever, you have to find partners to make the space special, and then share the revenue generated.<\/em>\" .<\/p>\n<p>This trend has already been adopted by players such as London's Olympia convention centre, which is in the process of completing a vast modernisation and, above all, conversion plan. In addition to the 'studious' aspect (conference, offices, coworking, etc.), the site will include restaurants, shops, a cinema, a concert hall and a theatre, as well as a rooftop garden... Like hotel groups, convention centres could thus target the local population more, and at the same time offer a 'bleisure' environment to conference delegates. With hybrid tourism, the geographical criteria used by organisers are changing. Hotel capacity, air connections and fares will no longer influence selection in the same way if the majority of the audience goes virtual. Some destinations have already taken the measure of this new situation. The creation of a <strong>Hybrid City Alliance<\/strong> on 16 December last. This still small club - the alliance brings together <a href=\"https:\/\/www.voyages-d-affaires.com\/en\/geneve-luxe-calme-et-efficacite-20160107.html\/\" target=\"_blank\" rel=\"noopener noreferrer\">Geneva<\/a>The Hague, Ottawa, Prague and Durban - is advocating a multi-hub strategy that could well become the norm. In other words, instead of bringing together 5,000 participants in a single venue, the emphasis will be on an inter-regional approach and smaller, but coordinated, face-to-face formats.
