On an individual level, of course, but the situation is very different when it comes to spending on meetings, conventions and seminars - in short, all those group events often referred to by the acronym MICE (Meetings, Events, Conferences, Incentives).<\/p>\n<p>In large companies, these events are traditionally organised by the marketing, communications or human resources departments. \"<i>For just over two years, this task has tended to fall to the Purchasing Department<\/i>says Saskia Gentil, European Operations Director for Meetings &amp; Events at American Express Business Travel, <i>This has an impact on the distance travelled, the number of participants and, of course, the overall budget for each operation.<\/i>\"<\/p>\n<p>The sums involved in these events are far from negligible, particularly in certain sectors such as pharmaceuticals, banking, consultancy and telecommunications, where there is a proliferation of events: financial roadshows, product launches, reward trips for the best salespeople. \"<i>This expenditure is estimated on average at between 0.5 % and 1.5 % of company sales, but is still difficult to monitor in the absence of reporting.<\/i>\"says a white paper from Carlson Wagonlit Travel (CWT).<\/p>\n<p>Until now, there has been a lack of coordination, and even professionalism, among the companies sponsoring events. <i>\"In some large international companies, a trainee is even given the job of organising an event\".<\/i>remarks a professional in private. This is, of course, an extreme case, but far from insignificant. Until now, those responsible for organising events in-house have had several options for carrying out their mission: contacting the various service providers directly, going through a travel agency, or even, more often than not, calling on the services of an event communications agency. In this process, there is little or no trace of the buyer...<\/p>\n<div>\u00a0<\/div>\n<h2>Obstacles to rationalisation<\/h2>\n<div>Have links even begun to be forged between a predefined travel policy and the events sector, if only at the outline stage? According to the professionals, when it comes to MICE expenditure, we are still a long way from the codified rules governing individual business travel. <i>\"In our view, there is no real interference between a company's travel policy and the entire management of an operation\".<\/i>says Laure Dupont Hury, head of travel at Lever de Rideau.<\/div>\n<div>Almost everything still needs to be done. But, as is often the case, it's easier to draw up conclusions than to implement solutions... Because, depending on the type of event organised, there are still many obstacles to rationalisation. <i>\"Starting with the emotional dimension of a demonstration\".<\/i>explains Thierry Duguet, Managing Director of CWT Meetings &amp; Events. A conventional, even standardised service has little chance of making an impression, and therefore of achieving its objective. Another difficulty is the disparate nature of the MICE sector, which reduces the scope for synergies. <i>\"In France, unlike in the United States, where many of these operations take place in hotels belonging to five or six major chains, events are mainly held in small independent establishments. It is therefore more difficult to impose a global policy\".<\/i>continues Thierry Duguet.<\/div>\n<div>As a result, consolidating purchases with certain suppliers in order to increase negotiating margins remains a real challenge. Even in the case of close relations with a hotel partner. When signing a framework agreement for its meetings, a company will not necessarily be able to rely on corporate contracts for individual business trips. This is because these are negotiated at the level of a brand, Pullman or Novotel for example, whereas agreements or referencing for events are concluded at the level of a group, Accor in this case.<\/div>\n<div>\u00a0<\/div>\n<div>At present, this type of contract is, as you would expect, still very rare. \"<i>Even if customers have signed agreements with hotel chains, their specifications do not include any restrictions on the choice of accommodation, which gives us the opportunity to use non-referenced service providers\", <\/i>continues Laure Dupont Hury. The agencies organising the events are therefore free to make their own choices, with the only constraint being that the budget for the operation must be respected.<\/div>\n<div>\u00a0<\/div>\n<h2>Don't give up<\/h2>\n<div>Given the complexity of finding negotiating levers, should companies give up hope of making savings on events? The professionals belonging to the French Association of Travel Managers (AFTM) are not giving up. In their view, it is even possible to rationalise the majority of expenditure on seminars and conferences, which are regular meetings based on relatively standardised requirements and for which it is possible to draw up precise specifications. On the other hand, the task is more complex for product promotion events.<\/div>\n<div>To optimise the management of your MICE spend, you first need to identify suppliers and standardise your choices before rolling out your events policy across all the company's divisions. <i>\"While individual travel policies clearly specify the hotel categories authorised to employees, those dedicated to events and meetings are less formalised\", <\/i>continues Saskia Gentil. If, by chance, the chosen supplier is not already referenced - often for reasons of creativity, motivation, or a location chosen but judged unsuitable - the travel agency will have to obtain an exemption. Drawing up precise specifications in advance - prices, terms of payment, changes - makes it easier to negotiate pricing conditions.<\/div>\n<div>\u00a0<\/div>\n<div>But these negotiations are above all based on an estimate of expenditure with a particular supplier, and therefore on accurate reporting. And this is often where the problem lies. <i>\"Being able to put a figure on expenditure makes it easier to negotiate contracts with suppliers and obtain discounts at the end of the year. This applies to airlines, railways, car hire companies and hotel chains\", <\/i>says Saskia Gentil. \u00a0<\/div>\n<div>\u00a0<\/div>\n<div>With the MICE market booming, payment specialists are positioning themselves to help their customers. For example, since 2005 American Express has been issuing the Corporate Meeting Card, enabling organisers to pay seminar, conference and event expenses centrally. The periodic statement is the perfect tool for controlling and monitoring each type of event, supplier or participant. Combining this card with a virtual vPayment solution further enhances the personalised monitoring of expenses incurred.<\/div>\n<div>\u00a0<\/div>\n<h2>The challenge of reporting<\/h2>\n<div>Airplus, which is already active in Germany, has recently expanded its offering for the MICE sector in France. The payment solutions specialist is launching the AirPlus Meeting Card in France. Among its advantages, the accounting files provided to customers take into account data such as costs for technical equipment, changes, advances and even no-shows. To date, two agencies - Bleu Voyages Affaires and Worldmeetings - have already signed up, but this list is set to grow. As will the list of approved suppliers.<\/div>\n<div>\u00a0<\/div>\n<div>At a time when companies seem to be going further down the road to rationalisation, business travel agencies are also showing their willingness to support this development. American Express Meetings &amp; Events and Le Public Syst\u00e8me, specialists in the organisation of professional events, have formed a strategic alliance to develop an offer that combines their strengths in terms of optimising production costs, event communication and creativity. For its part, Carlson Wagonlit is delighted with the growth of its Meetings &amp; Events business, which rose sharply in 2011 (+25 1TP3Q), thanks to companies' growing awareness of the benefits of streamlining their MICE travel policy. According to Thierry Duguet, \"<i>once the obstacles have been identified, it is possible to generate savings ranging from 10 % to 25% on expenditure on meetings and events, while increasing the return on investment\".<\/i>.
