After the air and rail budgets, two components of business travel that are generally well controlled by companies, purchasing departments, like travel managers, have made controlling accommodation expenditure their number one ambition. The latest American Express Business Travel barometer shows that 54% of large companies have put this item under tighter control. And this priority is likely to remain at the top of the list for some time to come, since controlling these costs clearly leaves plenty of room for optimisation... <i>\"Only a quarter of bookings go through a dedicated channel,<\/i> <i>whether by us, the travel agencies <\/i>or by platforms specialising in hotel distribution, <i>or self-booking tools. <\/i>This means that 75 % of bookings still fall outside this framework\", notes M\u00e9lanie Dubus, Marketing Manager at American Express Business Travel.<\/p>\n<p>Business travellers always tend to book their hotel directly. And the reasons for this are as numerous as they are varied. The most obvious is that some companies, although increasingly rare, have simply not formulated a clear policy. \"They provide their staff with an Excel listing of the establishments they prefer- <i>res, without giving further instructions\".<\/i>says St\u00e9phane de Laforcade, Managing Director of Hotel Corporate System.<\/p>\n<div>For the most structured companies, hotel programmes are like a Harlequin costume. There are elements of framework contracts signed with hotel groups, and there are prices negotiated directly with certain establishments, all of which are taken from the preferential rates offered by business travel agencies or hotel booking platforms... But even within these multinationals, which have de?ned precise roadmaps, many travellers have retained the habit of picking up the phone to book their favourite places.<\/div>\n<div>\u00a0<\/div>\n<div>Another, more structural, reason for this incipient optimisation is that the European hotel offer is fragmented and largely dominated by independent establishments. And these are far less organised in terms of reservations than their counterparts integrated within major groups such as Accor, Hilton, Starwood or Marriott.<\/div>\n<div>\u00a0<\/div>\n<h2>Digital divide<\/h2>\n<div>Nearly 70 % of 'owner-operated' hotels are not accessible through GDSs, the main channel for business travel agencies. As a result, while the proportion of online transactions reaches 62 % in air travel and 72 % in rail travel, it does not exceed 37 % in hotels. The absence of these establishments in corporate booking tools is a significant obstacle to the application of travel policies when travellers cannot find what they are looking for in an offer made up mainly of chain hotels.<\/div>\n<div>\n<p>Lastly, and this explains <span class=\"s5\">here too, the moderate application of policies <\/span>travel: the Internet. With their attractive rates, a host of mass-market sites - Expedia, hotels.com, Booking, Venere, <span class=\"p\">TripAdvisor, Kayak, etc. - like to divert business travellers from the straight and narrow.<\/span> Either because the company has ?xed them a <span class=\"p\">the collaborator will go to the highest bidder; or because, <\/span>respectful of his company's ?nances. <span class=\"p\">prices on the Internet that are lower than those negotiated in the shops. <\/span>by his company.<\/p>\n<h2>\"The last field of possibilities<\/h2>\n<p>So there's a lot to do, and above all a lot- <span class=\"s5\">to be gained from tidying things up a bit <\/span>in all this maelstrom. Particularly when you consider that the hotel industry is the second-largest- <span class=\"s5\">xecutive travel budget <\/span>representing an amount of <span class=\"s5\">4.6 billion in France <\/span>according to AirPlus. Not far off the \u20ac5.1 billion for air travel. <i>\"The hotel industry is <\/i><span class=\"s7\">the last field of possibilities\".<\/span><span class=\"s5\">sums up<\/span> <span class=\"s5\">J\u00e9rome Fo uque, Managing Director <\/span><span class=\"p\">from Egencia. <\/span><em>\"There are still quite a few potential savings, in particular by increasing<span class=\"s7\">visibility on expenditure <\/span>real, <span class=\"p\">says Philippe Chausson, Director of CWT Hotel Solutions. <\/span><span class=\"s5\">Group EMEA. <\/span><span class=\"s7\">Admittedly, this is improving <\/span>for several years now, and for the most mature companies, it can reach <span class=\"s7\">the 90 %. On the other hand, for  <\/span>the least advanced, it varies between 10 % and 20 %\".<\/em><\/p>\n<p class=\"s5\">The situation is clear and is hampering the optimisation of hotel programmes such as <span class=\"p\">negotiations with establishments <\/span>and large groups: companies <span class=\"p\">find it difficult to keep track of their hotel budget. <\/span><span class=\"s6\">\"Some estimate it at 10 <\/span><i>and 20 million euros. Quite a margin! <\/i><span class=\"s6\">And the larger the company, the more the <\/span><i>evil is great<\/i>says St\u00e9phane de Laforcade. <i>If companies have all the tools they need to optimise air travel, <\/i><span class=\"s6\">in comparison, the hotel industry is the poor relation\".<\/span><\/p>\n<p class=\"s6\"><span class=\"s5\">But should we despair of seeing this position fully rationalised one day? Of course not. That moment is approaching <\/span><span class=\"p\">even more every day... <\/span><em>\"Little by little<span class=\"p\">, <\/span>technological solutions are being put in place<span class=\"p\">says M\u00e9lanie Dubus<\/span>. <span class=\"s7\">Everything should move in the right direction in <\/span>over the next two to three years. This <span class=\"s7\">on the one hand, through more restrictive policies within companies.  <\/span>But we travel agents must <span class=\"s7\">also offer content that fully corresponds to the <\/span>passenger expectations, offer them the best fares and develop <span class=\"s7\">on- and off-line booking facilities\".<\/span><\/em><\/p>\n<h2>Spotlight on independents<\/h2>\n<\/div>\n<p>First positive point: the solutions <span class=\"s5\">are being strengthened in areas where they were previously lacking, namely the provision of<\/span> of establishments that were flying under the radar of the agencies. With the launch of <span class=\"s5\">last year of CRS by CWT, Carlson <\/span>Wagonlit (CWT) has enhanced its Hotel 360 solution by offering bookable<span class=\"s5\">independent hotels not previously listed in the GDS. Another innovation,  <\/span><span class=\"p\">Your Place by CWT <\/span><em>\"which enables<span class=\"s7\">to include their accommodation solutions in their hotel programme. <\/span>in-house, for example within their <span class=\"s7\">training centres or their campuses <\/span>abroad\".<\/em><span class=\"p\">explains Peggy Studer.<\/span><\/p>\n<p>American Express Business Travel has similarly opened its <span class=\"p\">HotelHub reservations to a host of independent hotels, particularly in France.<\/span>towards partnerships with voluntary chains such as Logis, InterHotel and Citotel. <i>\"If a company has links with <\/i><em><span class=\"s6\">an out-of-the-ordinary establishment, we <\/span>we can also integrate it into the system\".<\/em>, <span class=\"p\">emphasises M\u00e9lanie Dubus. Amadeus, a strategic intermediary as both GDS and <span class=\"s5\">SBT supplier, has launched Link-  <\/span>Hotel, which allows you to book properties in real time that are not accessible via the Internet. <span class=\"s5\">GDS - 6,000 at present. <\/span><span class=\"s7\">\"<\/span><em><span class=\"s7\">For<\/span>To reduce accommodation costs, it is important to offer independent hotels.<span class=\"s7\">and economical, <\/span><span class=\"s5\">says Isabelle <\/span><span class=\"p\">Falque, Marketing &amp; Innovation Director at Amadeus France. <\/span>In addition<span class=\"s7\">of the major chains, we are also integrating <\/span>content from aggregators such as Destinations of the World and Transhotel\".<\/em><\/p>\n<p><span class=\"s5\">Amadeus has gone even further by <\/span>entering into a strategic alliance in early 2012 with the reservation platform <span class=\"s5\">German hotel company HRS. <\/span>In its 40 years of existence, this player in the business travel sector has built up a solid reputation in the market. <span class=\"s5\">close relations with hoteliers <\/span>250,000 establishments, including 50,000 independent ones <span class=\"s5\">which until now have only been accessible by <\/span>via the HRS portal. <i>\"This partnership <\/i><span class=\"s7\">global revolutionises business travel, <\/span>says Emmanuel Ebray, Managing Director of HRS France. <i>Amadeus can thus offer travel agencies and companies, through its SBTs, a range of<\/i> <em>of establishments. <span class=\"s7\">Hoteliers who did not attend <\/span>in the GDS for cost reasons offer real-time availability\". <\/em><span class=\"s5\">This rapprochement illustrates the rise<\/span> of hotel reservation centres, also known as \"central reservations\". <span class=\"s5\">the Anglo-Saxon name of Hotel <\/span>Booking Agencies (HBA). Because the difficulties faced by the major agencies <span class=\"s5\">business travellers to offer solutions to their <\/span>These fully satisfactory results have raised the ambitions of players specialising in hosting, such as HCorpo,<\/p>\n<p class=\"s5\">CDS, iAlbatros, BSI or, recently, <span class=\"p\">BTravel. Rather than confronting these players head-on, travel agencies are finding <\/span>partners who can extend <span class=\"p\">their hotel offer. Frequent Flyer Travel offers the services of HRS, <\/span>HCorpo and CDS to its customers. Even in <span class=\"p\">among the leading TMCs, and Carlson Wagonlit has deployed a number of <\/span>in the UK and Northern Europe <span class=\"p\">the hotel booking tool (HBT) - CWT Room <\/span>Select, created in partnership with Hotel Zone. France is on the <span class=\"p\">first quarter of 2013.<\/span><\/p>\n<h2>Improving reporting<\/h2>\n<p class=\"s5\">Why this new craze? Because these professionals offer <span class=\"p\">state-of-the-art technological solutions and, above all, a range of over 200,000 hotels. Building on its track record, HRS <\/span>deals with 30,000 companies in France, a third of which are CAC 40 companies. Or <span class=\"p\">as many customers seduced by an argument <\/span><span class=\"s5\">solution costs them nothing, <\/span><span class=\"p\">since HRS lives off the commissions paid by hoteliers. <\/span><em>\"For the latter, <span class=\"s7\">we are one of the cheapest in the <\/span>market with only 15 % of commi- sions. In this way, we can offer companies a <span class=\"s7\">best-price plugs, between 5 and 30 % <\/span>lower than public tariffs\".<\/em><span class=\"p\">emphasises Emmanuel Ebray.<\/span><\/p>\n<p class=\"s5\">HCorpo, which has embarked on the adventure <span class=\"p\">in 2010, for its part, is based on a busi- ness model that is not remuneration-based. <\/span>of its role as intermediary, but <span class=\"p\">on a margin between the purchase and resale of rooms. In practice, the dif- <\/span>is also based on the classic model: the traveller<span class=\"p\">geur no longer gives out his card number <\/span>or Corporate as security for <span class=\"p\">the booking before paying the hotel themselves and then being reimbursed by their company. Payment is centralised on the platform and bookings are made directly by the customer. <\/span>are covered by a voucher. Only extras <span class=\"p\">are payable at the end of your stay.<\/span><\/p>\n<p class=\"s6\"><span class=\"s5\">This cover option is <\/span><span class=\"p\">appreciated as much by the public sector as by certain private companies. <\/span><em><span class=\"s7\">\"We offer our entire inventory in <\/span>prepayment. Practical for SMEs <span class=\"s7\">who don't have a Corporate card\".<\/span><span class=\"s5\">,<\/span><\/em><span class=\"s5\"> J\u00e9rome Fouque, Managing Director <\/span><span class=\"p\">Egencia France. For its part, <\/span>\"HRS does not <span class=\"s7\">does not rule out developing its offering by <\/span>in this sense\", <span class=\"p\">says Emmanuel Ebray. For his part, St\u00e9phane de Laforcade sees in this <\/span><span class=\"s5\">system another advantage with a <\/span><span class=\"p\">better consolidation of data. <\/span><em>\"We buy the rooms, so we <span class=\"s7\">can centralise invoices and send them <\/span>a monthly statement of transactions showing all expenditure. This data is <span class=\"s7\">level three, offering a high level of <\/span>?ness in terms of data: traveller name, room category, breakfast, etc.<span class=\"s7\">ner, number of overnight stays ...\"<\/span><\/em><\/p>\n<p>The current lack of visibility on hotel spending is largely due to inadequate reporting. But it's not enough, <span class=\"s5\">as you can see, things are looking up<\/span>luent. All the more so since payment by escrow account is also making its appearance.<span class=\"s5\">tion in the hotel sector. HCorpo accepts the Air Plus card and <span class=\"s5\">American Express. <\/span>Amadeus and Sabre have joined forces with <span class=\"s5\">Conferma, a British specialist in the settlement of hotel expenses, <\/span>to use a virtual card. <span class=\"s5\">Accor is working on this.<\/span><\/p>\n<h2>The beginnings of virtual payment<\/h2>\n<p class=\"s6\"><span class=\"p\">American Express Voyages <\/span><span class=\"s5\">has integrated its Vpayment solution <\/span><span class=\"p\">in hotel reservations.<\/span><em><span class=\"p\"> <\/span>\"This makes it easier to consolidate spending, but <span class=\"s7\">not only that: it is also a lever for <\/span>apply the travel policy. With <span class=\"s7\">virtual payment, travellers don't have to give their card as a guarantee or worry about  <\/span>reimbursement of expenses <span class=\"s7\">appendices. Hoteliers also appreciate<\/span> this formula because they are paid immediately. Carlson <\/span>Wagonlit has recently added new functionalities to its global Hotel 360 offering <span class=\"s5\">such as CWT Value Rates <\/span>preferential rates advertised at over 7,000 hotels with breakfast and WiFi <span class=\"s5\">included in addition to the possibility of annu- <\/span><span class=\"p\">the same day free of charge.<\/span><em><span class=\"p\"> <\/span>\"For companies, these competitive rates are a real advantage. <span class=\"s7\">interesting additions to towns <\/span>where they do not have negotiated contracts\".<\/em><span class=\"p\">, <\/span><span class=\"s5\">explains Peggy Studer, Senior Director, Global Hotel Product Marketing at Carl- <\/span><span class=\"p\">its Wagonlit. <\/span><em>\"We have also developed the Missed Savings tool, which analyses each transaction to put a stop to it. <span class=\"s7\">to highlight the differences between the<\/span>rates negotiated with hoteliers. This means that corrective measures can be taken if necessary. We are also in the process of <span class=\"s7\">a forward-looking tool that will give <\/span>an idea of future availability\".<\/em><span class=\"p\">explains Philippe Chausson, Director <\/span><span class=\"s5\">EMEA hotel solutions for <\/span><span class=\"p\">the same travel agency.<\/span><\/p>\n<p>Often felt to be a bone of contention between companies, their employees and their customers. <span class=\"s5\">travel agencies and hospitality groups. <\/span>the loading of negotiated fares into booking tools is also a major challenge. <span class=\"s5\">placed under increased surveillance.
